Employer terms and data sharing agreement

Version 2026-10-17. Draft under legal review.

What you accept in the portal

On behalf of my organisation I accept the EDWartens employer terms and data sharing agreement. We will use candidate data only to recruit for real roles, never charge candidates, never discriminate, never copy, sell or export candidate data, never use it for credit, insurance or background checks, and delete it when a candidate withdraws or asks us to.

1. Who these terms are between

  • These terms are between Wartens Ltd (8 Lyon Road, Milton Keynes MK1 1EX, United Kingdom), which runs edwartens.com, and the organisation that registers an employer account ("you"). The person who accepts them confirms they may bind the organisation.
  • They apply to the employer portal: posting jobs and internships, receiving applications, searching the talent pool, contact requests, lab exercises and assessments.

2. What the talent pool is

  • The talent pool lists adult learners who chose to be found by employers. Learners decide whether they appear, which countries' employers can find them, and whether their recent activity is shown. They can leave at any time, and when they do they disappear from search at once.
  • Until a learner accepts your contact request or applies to your job, you see an anonymous card: initials, skills and skill levels, course names and score bands, certificate names, lab and project titles, country and availability. Names and contact details come only after acceptance or application.
  • Skill levels describe evidence recorded on EDWartens, as explained on the skills methodology page. They are not a qualification, a reference or a recommendation by Wartens.

3. Your commitments

  • Recruit for real, lawful roles that exist, and describe them honestly, including pay where the law requires it (for roles in the European Union and EEA, a pay range).
  • Never ask a candidate to pay anything: no fees, deposits, training charges, visa or document charges.
  • Never discriminate. Do not try to infer or use age, gender, ethnicity, religion, caste, nationality, disability, marital or family status, or any other protected characteristic.
  • Never copy, scrape, export, sell, rent or share candidate data with anyone outside your recruiting team, and never use it for credit, insurance, tenancy or background screening.
  • Contact candidates only about the roles you recruit for, through the portal first, and respect a declined request.
  • Keep candidate data secure, delete it when a candidate withdraws or asks you to, and delete unsuccessful candidates' data within a reasonable period under your own retention policy.
  • Tell us at info@wartens.com within 72 hours if candidate data you received is lost, stolen or misused.

4. Data protection roles

  • Wartens is the controller of the learner profiles it shows you. Once a candidate's details reach you (by acceptance or application), you are a separate controller of that copy and responsible for your own lawful use of it.
  • Where you are outside the United Kingdom, the European Economic Area and India, you agree that the UK International Data Transfer Addendum and the EU Standard Contractual Clauses (module 1, controller to controller) apply to the candidate data you receive, as incorporated by reference in these terms.

5. What Wartens does and does not do

  • Wartens is not a recruitment agency or employment business. We do not select or recommend candidates, we do not rank them with AI, and we never charge candidates for finding work.
  • We verify organisations before they can search the pool, may limit the number of views and contact requests, and log views, saves and contact requests. Learners can see which organisations viewed or saved their profile.
  • We may refuse, pause or remove jobs and accounts that break these terms, ask candidates to pay, or attract well-founded complaints.

6. Liability, changes and law

  • The portal is provided as it is. Wartens is not a party to any job offer or employment contract, and is not liable for hiring decisions. Nothing in these terms limits liability that cannot be limited by law.
  • We may update these terms; the version and date are shown below, and a new version must be accepted before the next talent search.
  • These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, without taking away any protection the law of your country gives you.
